As a Legal Operations, eBilling & Matter Management Specialist here at Honeywell Aerospace Technologies, you willown the day-to-day administration and continuous improvement of the legal department's matter management and e-Billing infrastructure, with TeamConnect as the primary platform. This role is the operational backbone of the legal function: ensuring accurate matter data, timely invoice processing, reliable reporting, and well-functioning legal technology.

The Specialist partners directly with attorneys, finance, procurement, IT, and outside counsel to deliver cost transparency, enforce billing compliance, and drive measurable efficiency gains across legal operations. This is an individual contributor role suited for a professional with 4-7 years of progressive legal operations experience who is ready to own systems, processes, and stakeholder relationships with minimal supervision.

You will report to the Sr Director of Legal Operations and work out of our Phoenix, AZ location on a Hybrid work schedule. Note: For the first 90 days, New Hires must be prepared to work 100% onsite M-F.

KEY RESPONSIBILITIES

Matter Management & e-Billing Administration
  • Own the TeamConnect platform : configure and maintain matter types, workflows, approval chains, user roles, security permissions, and system settings to align with departmental policies and evolving business needs
  • Manage the complete e-Billing lifecycle from invoice submission through payment, including intake validation, line-item review against billing guidelines, approval routing, exception handling, appeals resolution, and confirmation of payment posting
  • Set up and maintain all matter records , including new matter creation, matter closures, vendor and timekeeper onboarding, rate table updates, and ongoing data hygiene to ensure accurate and complete records
  • Review and adjudicate timekeeper rate requests , verifying alignment with negotiated rate cards and fee arrangements; escalate discrepancies and coordinate corrections with vendors and Collaborati
  • Enforce outside counsel billing guidelines by reviewing invoices for compliance with LEDES format requirements, UTBMS task/activity codes, rate caps, block billing prohibitions, and other guideline provisions; reject or flag non-compliant entries with clear explanations to submitting firms
  • Monitor the weekly invoice interface between our legal billing software and SAP , investigating and resolving failed postings, currency conversion errors, duplicate entries, and data mapping mismatches to ensure timely and accurate payment
  • Troubleshoot platform issues end-to-end , including diagnosing user-reported problems, documenting bugs, coordinating with Mitratech and other vendors on support tickets, and validating fixes during upgrades and patch releases
  • Serve as the department's subject matter expert and first point of contact for all TeamConnect and e-Billing inquiries, providing responsive support to attorneys, legal staff, finance, and outside counsel users

Reporting, Metrics & Budgeting
  • Design, build, and maintain dashboards and reports that track legal spend by matter type, practice area, vendor, and timekeeper; matter volume and aging; cycle times; and other KPIs defined by legal leadership
  • Analyze legal spend data on a monthly and quarterly basis, preparing variance analyses against budget, identifying cost drivers and anomalies, and presenting findings with actionable recommendations to the Director of Legal Operations and finance partners
  • Support the annual legal department litigation budget process by compiling and organizing historical spend data, modeling forward-looking projections based on matter forecasts and rate trends, and tracking actuals against plan throughout the fiscal year
  • Develop and refine operational KPIs that measure outside counsel cost efficiency (e.g., cost per matter, realization rates, discount compliance), internal service delivery performance (e.g., matter intake turnaround, invoice processing time), and overall program health
  • Prepare ad hoc analyses and data extracts in response to requests from attorneys, leadership, and cross-functional partners, ensuring data accuracy and clear presentation

Legal Technology & Process Improvement
  • Identify and implement workflow improvements that reduce manual effort, eliminate redundant steps, and improve data quality across TeamConnect, Collaborati, SAP interfaces, and any adjacent legal tools
  • Lead or co-lead system evaluation, selection, and implementation projects as the department's technology needs evolve, including requirements gathering, vendor demonstrations, user acceptance testing, and rollout planning
  • Build and maintain a library of standard operating procedures, user guides, and training materials for all legal operations tools and processes; deliver training sessions to new users and refresher training as system changes are deployed
  • Stay current on legal operations technology trends , including AI-enabled invoice review, contract lifecycle management integrations, and analytics capabilities, and bring forward recommendations for adoption where appropriate

Vendor & Stakeholder Coordination
  • Manage the operational relationship with outside counsel and legal service providers on billing compliance, matter setup, timekeeper enrollment, data requests, and guideline adherence; conduct periodic performance reviews using spend and compliance data
  • Partner with IT on system administration including access provisioning, SSO configuration, environment maintenance, integration monitoring, and security reviews
  • Coordinate with procurement and finance on vendor master data, purchase order alignment, invoice reconciliation workflows, and payment timing
  • Collaborate with attorneys and business clients to ensure matter records accurately reflect scope and status, and that reporting outputs meet their decision-making needs

Qualifications
YOU MUST HAVE
  • 4-7 years of experience in legal operations, legal technology administration, or e-Billing management within a corporate legal department or law firm
  • Hands-on administration experience with legal billing and matter management software, such as TeamConnect, or demonstrated SME-level proficiency with a comparable enterprise matter management/e-Billing platform (Legal Tracker, Brightflag, CounselLink, or similar); candidates must be able to independently configure workflows, manage user access, build reports, and troubleshoot system issues
  • Strong working knowledge of outside counsel billing guidelines , including LEDES file formats (LEDES 1998B or LEDES XML), UTBMS task and activity codes, and common guideline enforcement scenarios (block billing, excessive staffing, rate cap violations)
  • Proven ability to build and maintain reports and dashboards using platform-native tools or business intelligence software (e.g., Power BI, Tableau, Excel pivot tables) that translate raw legal data into clear, decision-ready outputs for leadership
  • Experience with ERP integration workflows , particularly invoice posting between legal e-Billing platforms and SAP or similar financial systems, including familiarity with data mapping, currency handling, and error resolution
  • Strong analytical skills with the ability to synthesize large datasets, identify trends, and communicate findings in a concise, business-oriented manner
  • Effective cross-functional communication skills , with a track record of working directly with attorneys, finance, IT, procurement, and external vendors in a corporate environment
  • High attention to detail and data integrity standards , with a systematic approach to quality control across system records and financial data
  • Proficiency in Microsoft Excel (including VLOOKUP/XLOOKUP, pivot tables, and conditional formulas) and comfort working with large datasets

  • Familiarity with rate management, timekeeper enrollment, and invoice routing
  • Experience supporting legal department budgeting processes , including spend forecasting, accrual tracking, and budget-to-actual reporting
  • Project management skills or certification (PMP, CAPM, or equivalent experience) applicable to system implementations and process improvement initiatives
  • Bachelor's degree in business administration, finance, information systems, or a related field
