Project Coordinator

Jacobs is seeking a detail-oriented Project Coordinator to support the full project life cycle—from initiation and planning through execution, monitoring, and closeout. This role provides high-quality administrative and document control support to multidisciplinary project teams, ensuring deliverables are accurate, on time, and compliant with client, contractual, and Jacobs standards.
Key Responsibilities
Project Administration & Coordination
- Support the complete project life cycle: scheduling, logistics, meeting facilitation, action tracking, and closeout documentation.
- Maintain project calendars, deliverable trackers, risk and issue logs, and decision registers.
- Prepare and format project documentation (agendas, minutes, status reports, dashboards, change requests).
- Coordinate team communications and manage distribution lists and versioning.
Document Management & Compliance
- Administer document control processes in alignment with project and client requirements.
- Create and enforce file naming conventions, metadata standards, transmittal logs, and audit trails.
- Manage controlled documents (SoWs, submittals, RFI logs, change orders, test records, as-built packages).
- Ensure adherence to configuration management, records retention, and QA/QC requirements.
Technical Editing & Quality Support
- Perform technical editing, proofreading, and formatting of reports, specifications, and client deliverables.
- Coordinate internal reviews, consolidate comments, track redlines, and drive resolution.
- Support compliance checks against proposal/contract requirements and deliverable checklists.
Schedule, Budget, and Reporting Support
- Assist with resource plans, task assignments, percent-complete updates, and schedule maintenance.
- Help compile budget trackers, accruals, and invoice backup; reconcile purchase orders and expenses.
- Build and maintain standard reports/dashboards (KPIs, milestones, risks, action items).
Tools & Systems
- Utilize Microsoft 365 (Teams, SharePoint, OneDrive, Excel, Word, PowerPoint, Outlook).
- Operate document control or CDE platforms (e.g., SharePoint libraries, Aconex, ProjectWise).
- Support template management and continuous improvement of project processes.
Here's what you'll need
- Associate’s degree or equivalent experience; Bachelor’s preferred.
- 2–5+ years of project coordination, PMO support, or document control experience.
- Proficiency in Microsoft 365/Office Suite.
- Strong technical editing and formatting skills.
- Excellent organization and communication skills.
Preferred Qualifications
- Experience supporting full project life-cycle in a matrixed environment.
- Familiarity with project management methodologies.
- Experience with CDEs/EDMS (Aconex, ProjectWise).
- Exposure to cost controls, change control, earned value, or scheduling tools.

61,700.00
Posted Salary Range: Upper
93,280.00

The base salary range for this position is $61,700.00 to $93,280.00. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
