Job Overview

Lighthouse Psychiatry is a U.S.-based mental health and interventional psychiatry organization providing telehealth, psychiatry, therapy, TMS, ketamine & esketamine services, and clinical research. We are hiring a Virtual Assistant (VA) – Administrative Support & Care Coordination to support our patient access, scheduling, insurance verification, and payment collections.

This role is ideal for experienced Healthcare VAs in the Philippines with strong medical & psychiatry knowledge, insurance verification familiarity, fluent and articulate English language, experienced customer service, and documentation discipline .

Key Responsibilities:

• Conduct structured patient intake via phone, email, and secure platforms.
• Schedule appointments according to provider criteria (age, insurance, service type).
• Manage waitlists, cancellations, and no-show tracking.
• Maintain accurate demographic and insurance records in EMR.
• Educate patients on visit preparation and care pathways.
• Verify insurance eligibility, benefits, deductibles, and coverage.
• Enter patient and insurance data accurately into EMR/billing systems.
• Submit and track prior authorizations for specialty services.
• Track no-shows, cancellations, and intake-to-visit conversion.
• Working knowledge of CPT/ICD-10 codes.
• Compliance to HIPAA standards.
• Upload/index documents accurately.
• Ensure chart completeness and billing-ready documentation.

Required Qualifications:

• 2+ years as a Healthcare VA, Medical Billing VA, or Patient Access Specialist.
• Experience with U.S. insurance processes, CPT, ICD-10, and payer workflows.
• Familiarity with EMR/Billing systems (Athena, DrChrono, Kareo, AdvancedMD, Epic, etc.).
• Excellent English communication (written and verbal).
• Strong attention to detail and confidentiality awareness.
• Psychiatry or behavioral health practice.
• Telehealth workflows.
• TMS or ketamine authorization experience.
• High-volume scheduling coordination.

Compliance Requirements:

• Willingness to complete HIPAA training and sign confidentiality agreements.
• Private workspace and stable high-speed internet.
• Ability to work U.S. business hours (night shift PH).
